11 Tips for Attending Expo’s and Trade Shows
Let’s be honest, attending an expo or trade show can be overwhelming to say the least. It is hard to know how to prepare, and what to do once you get there not to mention the followup after the event.
While attending the Natural Products Expo this past year I realized the importance of a pre-plan, and a successful execution once there and wanted to share that newly found knowledge!

Before the show:
Comfort is Key – This is one of the most important things in the preparation process, as it can literally make the difference between a hard day with blisters and a blister-less day. I wear a comfortable pair of pants, and my walking shoes – while image matters, everyone is in the same foot boat at shows.
Prepare for Contact – There are two things I suggest: The first is business cards – make sure you have a current set and bring a hundred or so with you. While you may not hand them all out, if you do, you will be happy to have a stock with you. The second is prepare your “elevator pitch”, which is the 30 second summary that will answer representatives initial questions about your site or business. I also recommend practicing this pitch on a loved one before the show so that it comes out smooth and easy show day.
Bring Back-Up – I would advise investing in a battery backup that will allow you to charge your phone while still walking the show’s floor. I have one that fits in my pocket and charges the phone with one simple cable. I would also bring an extra memory card, you will be surprised how many photos you will end up taking. Pre-Plan and Re-Plan – Does the show have an app? Download it and use it to plan your route. I would come up with 3 levels – must see, will see and no see. Use these to plan your day/days and your walking route – this will save your feet in the long run.
During the Show
Know your Goals – What are there for? Do you want to make contacts? Find distributors? Learn about products? Know your goals, and keep them in mind as you walk the floor!
Hydration – I can not express the importance of keeping proper hydration level while walking around and talking to people. If you are lucky there will be vendors and booths that will provide water, but if not keep a bottle of water near and stop and drink when you see water available. Your body will last longer, and you will not tire as easy.
Samples – Many shows will offer samples, and many shows will limit the number of samples you can take. My advice is to be thoughtful and take what you want, while remaining mindful of the show’s rules. The plus side is that many times show organizers will donate the excess to a local food banks and charities to help people.
Work Your Contacts – Is there somebody that you have communicated with in email? Take this opportunity to meet them in person. This is valuable face time that can pay off later. The ability to put a face to a name is somewhat limited in this digital world we live in – take the opportunity and meet them!
Save that Data – Carry a pen to make notes on business cards, you will meet many people and sadly not remember them all. Use identifying information and notable conversations to jog your memory.
After the Show
Thanks and Follow-Up – There are two thoughts on this topic – the first being be sure to shoot a quick email to your existing relationships and thank them and mention it was great to see them. For new and potential relationships, email and re-introduce yourself and be sure to say that it was nice to meet them. If you had a notable conversation, be sure to reference that – you never know what people will remember. If you have the time and resources, a handwritten Thank You note would make a nice follow-up.
Wrap-Up and Relax – Be sure to take a moment and evaluate your original goals. Did you meet them? If you did, be proud! If not evaluate your day and make a plan to do it different next time.

a notebook (just a small one with the rings at the top) I stick the cards I get in there with more details if needed about them just fold up the bottom of the page to kinda keep the card in place with your note. Too many business cards are shiny these days. I also carry a sharpie with me to write on them as well.
